Privacy Policy

Veylon AI is a product of Consultify Global, operated by BATCON Software & Technology ("BATCON", "we", "us"), based in Ontario, Canada. BATCON Software & Technology is a 100% subsidiary of Consultify Global L.L.C. This policy explains what personal information we handle when you visit veylon.online, use the Veylon AI app (app.veylon.online) or connect other services to it, and the choices you have. 1. Two roles

Your account: for the people who sign up and use Veylon AI, we decide how your account information is used. Your workspace: the leads, contacts, emails, posts and calls you put into or create with Veylon AI belong to your company. For that data we act as your service provider (processor) and use it only to run the service for you.

2. What we collect

• Account: name, work email, password (stored as a secure hash), company name, role, and 2-step sign-in settings.
• Workspace data: leads and contacts you import, find or capture (names, business emails, phone numbers, company details), notes, tasks, meetings, and activity history.
• Email: if you connect a mailbox, we send the emails you approve and read only replies from your own leads. Other mail is ignored and not stored. Mailbox passwords and tokens are stored encrypted.
• Connected social accounts (Meta and LinkedIn): when you connect Facebook, Instagram or LinkedIn, we receive an access token and basic information about the Pages and accounts you choose (name, ID). We use it only to publish posts you approve, read comments and engagement on those posts, receive leads from your own lead forms, and show results of your own ads. We do not use this data for advertising, profiling or selling, and we do not share it with other customers.
• Phone calls: if you use Echo calls, we process the lead's name, phone number, the call recording and transcript. Calls are only placed to people who asked to be contacted.
• Billing: handled by Stripe. Card details go directly to Stripe and never touch our servers.
• Usage and security logs: sign-ins, IP address, browser, and actions taken, to keep accounts secure and fix problems.

3. How we use it

• To provide the service: CRM, email, meetings, posts, calls and the AI team.
• To keep accounts secure and prevent abuse.
• To send service emails (sign-in, invitations, receipts, alerts). We do not send marketing email without consent.
• To meet legal obligations.

We do not sell personal information, and we do not use your workspace data to train AI models.

4. AI processing

Veylon AI's bots send the information needed for each task (for example a lead's company details or a reply you received) to our AI provider to draft emails, research companies, write posts and run calls. Nothing is sent to a lead, posted or called until a person in your company approves it. See AI & data providers.

5. Who we share it with

Only with the service providers that run Veylon AI (hosting, AI, email delivery, payments, phone calls), listed on AI & data providers, and with the platforms you connect (Meta, LinkedIn, Google, Microsoft) when you ask us to act there. We may disclose information if the law requires it. Some providers are in the USA or EU, so your information may be stored or processed outside Canada.

6. How long we keep it

• Workspace data: while your account is active, then deleted within 30 days of closing it (backups within 90 days).
• Call recordings: 90 days.
• Social access tokens: until you disconnect the account or close your workspace.
• Billing records: as long as tax law requires.

7. Security

Encrypted connections (HTTPS), encrypted storage of passwords and access tokens, optional 2-step sign-in, role-based access within each company, and audit logs. No system is perfectly secure; we will notify affected customers of a breach as the law requires.

8. Your rights

You can ask to access, correct or delete your personal information, or withdraw consent, by emailing privacy@veylon.online. If you are a lead stored in one of our customers' workspaces, we will pass your request to that company and help them act on it. You can also complain to the Office of the Privacy Commissioner of Canada.

9. Deleting your data (including Facebook and Instagram data)

1. Remove a connected account: in Veylon AI go to Marketing → Connections and click Remove next to the account. The access token is deleted straight away. You can also remove Veylon AI in Facebook under Settings → Business integrations, or in LinkedIn under Settings → Data privacy → Permitted services.
2. Delete everything: email privacy@veylon.online from the email on your account with the subject "Delete my data". We confirm within 7 days and delete your account, workspace and all data received from Meta, Instagram and LinkedIn within 30 days.

10. Children

Veylon AI is a business tool and is not meant for anyone under 18.

11. Changes

If we change this policy in an important way, we will tell account owners by email before it takes effect.
